Billing & Plans
Per-mailbox pricing in KES, M-Pesa and card payments through Paystack, renewals, and invoices.
Axene Workspace is priced per mailbox, per month, in KES. Your charge each cycle is the plan's per-mailbox rate multiplied by the number of active mailboxes in your organisation. There is no seat pricing and no USD exchange risk.

Annual billing gives you 2 months free: the yearly price is 10 times the monthly rate per mailbox.
Every new organisation starts on Free. Because paid plans are per-mailbox, upgrading never involves guessing a tier size: add mailboxes when you need them and the next charge reflects the new count.
The Free plan is capped at one mailbox and one domain. Creating a second mailbox prompts you to upgrade first.
Where billing lives
Billing is under Admin > Billing ("Subscription & payment"), with three tabs:
- Subscription - current plan, billing cycle, active mailbox count, and the date the current period ends.
- Payment method - how renewals are charged (card or M-Pesa).
- Invoices - your charge history: amount, status, description, and date for every payment.
Storage usage has its own page at Admin > Storage.
Owners and admins can view billing. Only the owner can change plans, pay, or cancel (see Team & Members for roles).
Upgrading
- Go to Admin > Billing and pick a plan (Lite or Business) and a cycle (monthly or yearly).
- You are shown the total: the per-mailbox rate times your current active mailboxes.
- Click through to the Paystack hosted checkout and pay by M-Pesa or card (Visa / Mastercard). All amounts are in KES.
- Paystack returns you to Workspace, which verifies the transaction.
Once verified, the plan is active immediately: the new storage grant and IMAP/SMTP access apply right away, and your billing period runs 30 days (monthly) or 365 days (yearly) from that point. The payment appears in the Invoices tab.
Renewals
How renewal works depends on how you paid:
- Card: Paystack stores a reusable authorization, and Workspace charges it automatically when the period ends. The new charge shows up in Invoices.
- M-Pesa: M-Pesa has no recurring charges, so nothing is pulled from your phone automatically. At the end of each period Workspace creates a pending charge, notifies the owner, and marks the account past due until you settle it through the hosted checkout. A past-due banner appears in the admin console linking straight to billing.
While past due your service keeps running so mail is not interrupted, but settle promptly to keep the subscription active.
If a card renewal fails, the account is also marked past due and the owner is notified. Open Admin > Billing and pay through checkout, or update the card, to clear it.
How the amount is calculated
The charge for a cycle is:
Deactivated mailboxes are not billed. If your mailbox count changes between checkout initiation and payment, the amount you actually paid is what is recorded; the next renewal picks up the current count.
Cancelling
- Go to Admin > Billing (owner only).
- Click Cancel subscription and confirm.
Cancellation takes effect at the end of the current period: you keep the paid plan until then, no further charges are made, and when the period ends the organisation drops to the Free plan. Your data (domains, mailboxes, mail) is not deleted, but anything beyond Free limits stops being usable: IMAP/SMTP sign-ins are rejected and extra mailboxes cannot be created.
There are no prorated refunds for partial periods. If costs are the issue, downgrading from Business to Lite at the next cycle is usually a better option than cancelling entirely.
Receipts and history
Every payment is a line in the Invoices tab with its amount, description (plan, mailbox count, cycle), status, and date, backed by a Paystack transaction reference. Use it for bookkeeping and reconciliation.
