Mail Clients (IMAP & SMTP)

Connect Apple Mail, Outlook, Thunderbird, or your phone to your Axene Workspace mailbox.

Every Workspace mailbox works with any standard mail client over IMAP and SMTP. Webmail at workspace.axene.io is always available, but a desktop or phone client gives you offline access, OS-level notifications, and a unified inbox across accounts.

IMAP and SMTP access is included on the Lite and Business plans. The Free plan is webmail only. See Billing & Plans to upgrade.

Server settings at a glance

These settings are the same for every mailbox on every domain hosted with Axene Workspace. Always use mail.axene.io as the server name, not your own domain.

Port 587 with STARTTLS is the preferred submission port. Port 465 with SSL/TLS works identically if your network handles it better. Port 25 is reserved for server-to-server mail exchange (MX) and cannot be used by mail clients.

The username is always the full mailbox address. you without the domain will fail to authenticate.

App passwords

An app password is a separate 16-character credential for a single device or client. We recommend one per client instead of your main mailbox password:

  • Each device gets its own credential, so you can revoke a lost laptop without touching your phone.
  • Your real password never sits in a client's account store.
  • Revoking an app password takes effect without a password change.

To create one:

  1. Sign in to webmail and go to Settings > App passwords.
  2. Enter a device name (e.g. ThinkPad Thunderbird) and click Create.
  3. Copy the generated password. It is shown once and never displayed again. Only a hash is stored on the server.
  4. Use it as the password in your mail client, with your full mailbox address as the username.

To revoke a credential, return to Settings > App passwords and click Revoke next to the device. The client using it loses access on its next connection.

Apple Mail (macOS)

  1. Open Mail and go to Mail > Add Account (or System Settings > Internet Accounts).
  2. Choose Other Mail Account and click Continue.
  3. Enter your name, your full mailbox address, and your password (app password recommended). Click Sign In.
  4. When macOS asks for server details, enter:
    • Account type: IMAP
    • Incoming mail server: mail.axene.io
    • Outgoing mail server: mail.axene.io
    • Username: your full mailbox address
  5. Click Sign In, then Done.

Apple Mail selects ports 993 and 587 with TLS automatically. To verify, open Mail > Settings > Accounts > Server Settings and untick Automatically manage connection settings to see the ports.

iPhone & iPad

  1. Open Settings, then Mail (on recent iOS versions it lives under Apps > Mail).
  2. Tap Mail Accounts > Add Account > Other > Add Mail Account.
  3. Enter your name, full mailbox address, password, and a description. Tap Next.
  4. Make sure IMAP is selected at the top, then fill in both sections:
    • Incoming mail server: host name mail.axene.io, username your full address, password
    • Outgoing mail server: host name mail.axene.io, username your full address, password
  5. Tap Next, then Save.

iOS labels the outgoing username and password "Optional". They are not optional on Axene Workspace: SMTP requires authentication, so fill them in.

Outlook

New Outlook (Windows and macOS)

  1. Click the settings gear, then Accounts > Email accounts > Add account.
  2. Enter your full mailbox address and click Continue.
  3. If Outlook does not detect the settings, pick IMAP from the provider list (under advanced or "Choose a different account type").
  4. Enter your password (app password recommended), then the servers:
    • IMAP incoming: mail.axene.io, port 993, SSL/TLS
    • SMTP outgoing: mail.axene.io, port 587, STARTTLS
  5. Click Continue to finish.

Classic Outlook

  1. Go to File > Add Account.
  2. Enter your full mailbox address, expand Advanced options, tick Let me set up my account manually, and click Connect.
  3. Choose IMAP.
  4. Enter:
    • Incoming: mail.axene.io, port 993, encryption SSL/TLS
    • Outgoing: mail.axene.io, port 587, encryption STARTTLS
  5. Click Next, enter your password, and click Connect.

Thunderbird

  1. Go to Account Settings > Account Actions > Add Mail Account (or use the setup screen on first run).
  2. Enter your name, full mailbox address, and password. Click Continue.
  3. If autodetection does not find the server, click Configure manually and enter:
    • Incoming: IMAP, mail.axene.io, port 993, SSL/TLS, authentication: normal password
    • Outgoing: SMTP, mail.axene.io, port 587, STARTTLS, authentication: normal password
    • Username (both): your full mailbox address
  4. Click Re-test, then Done.

Android

Gmail app

  1. Open Gmail, tap your profile picture, then Add another account.
  2. Choose Other.
  3. Enter your full mailbox address and tap Manual setup, then choose Personal (IMAP).
  4. Enter your password (app password recommended).
  5. Incoming server: mail.axene.io. Tap Next.
  6. Outgoing server: mail.axene.io, with Require sign-in enabled and the same username and password. Tap Next.
  7. If the app asks for ports, use 993 with SSL/TLS incoming and 587 with STARTTLS outgoing.

Other Android mail apps

Samsung Email, K-9 Mail, FairEmail, and similar apps all follow the same pattern: add an account, choose IMAP (not POP3, not Exchange), and enter the settings from the table at the top of this page.

POP3 (advanced)

POP3 is available as an alternative to IMAP:

POP3 downloads messages to a single device and, in most client configurations, removes them from the server. Nothing syncs back: read state, folders, labels, and sent mail stay local, and webmail and other devices will not reflect them.

Use POP3 only if you want a local archive on one machine. For everything else, use IMAP.

Troubleshooting

Authentication failed. Check that the username is your full mailbox address, not just the part before the @. If you recently changed the mailbox password, update it in the client, or better, create an app password under Settings > App passwords and use that instead. On the Free plan, IMAP and SMTP logins are rejected; upgrade to Lite or Business.

Connection to port 587 times out. Some ISPs, hotel networks, and mobile carriers block outbound 587. Switch the outgoing security to SSL/TLS on port 465. Never fall back to port 25: it is for server-to-server delivery only and is blocked for client submission.

Certificate warning or "server identity cannot be verified". The TLS certificate is issued for mail.axene.io. This warning almost always means the client is configured with a different server name, such as mail.yourcompany.com or imap.yourcompany.com. Change the incoming and outgoing server to exactly mail.axene.io and the warning disappears. Do not click through certificate warnings.

Receiving works but sending fails. SMTP requires authentication with the same username and password as IMAP. In your client's outgoing server settings, enable "Require sign-in" (or "Use same settings as incoming server") and confirm the port is 587 with STARTTLS or 465 with SSL/TLS.

Folders look different across devices. Make sure every device uses IMAP, not POP3. A single POP3 client in the mix will pull messages off the server and break the shared view.
